How do I create custom fields for contacts?

In addition to predefined system fields (e.g., first name, last name, phone number, email address), the matelso platform also offers the option of creating individual fields, known as custom data fields or cData fields for short. These allow you to flexibly capture additional information—for example, a customer number, an item number, or internal notes.

This article shows you step by step how to:

– create a new custom field for a contact
– define the field type
– assign display and database names
– position the field on the contact details page
– configure team-related visibility and mandatory fields.

Complete step-by-step instructions can be found below. A video is also available:

1. Check current contact fields

First, navigate to any contact within the matelso platform. Here you will see:

– the predefined system fields (e.g., first name, last name, email address, phone number)
– existing individual fields, e.g.:
– item number
– note

These individually created fields serve as examples for later expansion.

2. Open the area for custom fields

Navigate to the following via the main menu:

Configuration → cData → Contact fields → Custom fields

There, select the “Contact” entity. In the overview, you will see all custom fields created for contacts so far—in this case, the Item number and Note fields.

3. Create a new contact field

Click on the “+” icon to create a new field.

For this example, we will add a customer number:

– Field type: Integer
– Database name: e.g., customer_nb (freely selectable)
– Display name (German): Kundennummer
– Display name (English): Customer Number

Then save the new field. The field will now appear in the field overview on the left.

4. Adjust the position of the field on the contact details page

After creation, the new field is displayed at the bottom of the contact details page by default.

To adjust the position, you can move the fields on the cData details page using drag & drop.

Then save the new order.

5. Define team-related visibility and mandatory fields

For each individual contact field, you can specify:

– Which teams the field is visible to
– Which teams the field should be a mandatory field for

Example configuration

Customer number:

– Visible to all teams
– Not a mandatory field

Item number:

– Visible only to a specific team
– Mandatory field for this team

These settings allow for very granular control depending on the department or work process.

6. Use the field in the front end

Now navigate to the following area:

Contacts list page → Contact details page

On the contact details page, you will now see:

– the note
– the item number
– the new customer number

If you are in a team for which the item number is defined as a mandatory field, this field will be marked with an asterisk (*).

You can now:

– Enter a customer number
– Save the contact
– And immediately start using the new field.

Result

You have successfully:

– created a new custom contact field
– defined the field type correctly
– positioned the field on the contact’s detail page
– configured team-related visibility and mandatory fields
– used the new field in operational use

This allows the matelso platform to be optimally adapted to individual processes and data requirements.
